FTS is currently seeking an Executive Assistant for a financial services company in Fort Worth, Texas. This is a full time position with benefits. 

Job Description:

Calendar/E-mail/Meeting Management:
Maintain Vice President's calendar and regularly monitor incoming email for urgent requests; schedule meetings, set up meeting agendas; print out documents; take meeting minutes (when necessary); ensure meeting logistics, including room and meal coordination, are well planned. Review calendar and e-mail for the month and each week in advance to ensure pro-active preparation of Vice President and attendees, where necessary. (25%)

Executive Information Support:
Maintains Vice President’s data and documents by establishing and maintaining document and information storage and filing process for all executive reports and information including: preparation of reports by collecting and arranging information, secures information by ensuring information confidentiality, and provides historical reference by developing and utilizing filing and retrieval systems for historical information. Track document types for reference when making decisions on future documents. (25%)

Travel Coordination:
Coordinate all business travel needs including confirmation of travel dates and needs, booking travel arrangements, preparing travel itinerary, coordinating with other travelers, as necessary, preparation of Vice President’s expense reports, etc. (15%)

Department Administration:
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies, maintain department events calendar updating and coordinating with Vice President’s team members, update daily voicemail and function as liaison to the Facilities Department. (15%)

Event Planning:
Plan and coordinate department events in conjunction with the Operations liaison: Community Relations events, team building events, internal team building events, Dealer Relations Manager meetings, and/or year-end celebration. (10%)

Accounts Payable:
Audit expense reports, facilitate invoice payment, initiate cross-charges, maintain up-to-date authorized signature cards, work with Operations liaison for ICS compliance. (5%)
Other Duties as Necessary, including supporting Executive Support Manager and Vice President’s Senior Managers. (5%)

REQUIRED
5+ years of overall experience; minimum of 3 years supporting a Vice President or higher
High School Diploma/GED required
Professional appearance; superb organization & time management skills
Excellent verbal & written communication skills (internal and external customers)
